Applications

Applications is the admissions queue. Every application a prospective student files — through the public inquiry form, through the portal, or by the demo button on the Demo page — lands here with status Submitted.

  • A status filter across the top: All, Submitted, In review, Accepted, Declined, Deferred, Withdrawn. Default is Submitted — the inbox view.
  • A list of applications on the left, newest first. Each row shows the applicant’s name, their program and target cohort, when they submitted, and their current status.
  • A detail panel on the right that opens when you click a row. It shows the person’s answers: program, format (in person or virtual), occupation, essay, referral source, photo release. Everything the current paper form asks for.

In the detail panel, three buttons sit under a short decision form:

  • Target cohort — a dropdown of future cohorts. Pre-filled with the cohort the applicant chose on the form.
  • Decision note — a sentence the office can add for the Timeline.
  • Accept, Decline, Defer.

Accept does several things at once:

  1. Moves the applicant’s program row to Admitted.
  2. Creates an enrollment on the target cohort (status: invited).
  3. Creates a deposit invoice through the billing adapter.
  4. Queues a decision email through the email adapter.

In fake mode, the invoice and email live in the system’s own tables so you can see them without any live QuickBooks or Resend credential. When the deposit is marked paid — by QuickBooks for real, by the Mark deposit paid button on the Demo page in fake mode — the enrollment flips to active, the person’s program row flips to Student, and the applicant becomes a student.

Decline records the decision and keeps the person in the funnel at whatever stage they were (so you can see declines on the pipeline board by turning Show paused + exited on).

Defer keeps the application open but attached to a later cohort.

The Timeline on the person’s record carries every one of these moves.
