Where to start
This chapter is less a lesson and more a tour. The system works. These are a handful of first moves that will teach you where things are without feeling like homework.
Invite the office team
Section titled “Invite the office team”Open Team. Press Invite teammate. Add one of your colleagues’ office email addresses, pick Admin or Staff, and send. The invite lands in their inbox within a minute. When they click the magic link, their row moves from Pending to Active. The whole office can be onboarded in ten minutes this way.
Add a first real applicant
Section titled “Add a first real applicant”Open Contacts. Click Add contact at the top right. Fill in a real applicant’s name, email and phone. Press save. You now have a Prospect in Contacts. Click into their record and press Add to program to put them on the Spiritual Direction or Dream Work funnel — they are now a card on the pipeline board.
As they move forward, change their stage with the selector on their Programs section. The pipeline board updates immediately.
Run the Spiritual Direction funnel
Section titled “Run the Spiritual Direction funnel”Open Enrollment Funnels → Spiritual Direction. You will see every person with an SD row grouped into the six columns. Drag a card from Prospect to Engaged and watch the Timeline on the person’s record pick it up. Nothing is destructive; drag it back and the Timeline records that too.
Poke at Student Success
Section titled “Poke at Student Success”Open Student Success. The risk score sorts the roster so that anyone with an overdue payment or a thin attendance record comes to the top. If the office opens this once a week, almost nothing surprises them.
Try the Demo page
Section titled “Try the Demo page”Open Demo. Press Receive a new inquiry. A new Prospect appears in Contacts. Press Submit a sample application. They become an Applicant. Press Mark deposit paid. They become a Student. The whole arc, in under a minute, with every page updating in place.
The Demo page is for understanding how the system wires up. It is also, surprisingly, a great way to show someone else the system without having to narrate it — a few button presses tell a clearer story than any explanation.
When something feels off
Section titled “When something feels off”Open Troubleshooting. The handful of things that most commonly throw people — magic links in spam, a portal account that says “not connected”, the trailing-slash gotcha on an admin invite — are listed there with the fix.
Next: Troubleshooting.
